What this app is

Child Organiser is a free IncludeMe app. It helps you keep a one-page profile for your child, with medicines, doctors, appointments, documents and photos in one place. You can photograph or upload a letter or report and it is filed for you, and what the reports say your child can do is kept as a portfolio.

What stays on your device

Everything you enter about your child (name, date of birth, how they communicate, medicines, allergies, professionals, school, contacts, appointments, documents and photos) is special category data. It is kept only in your browser's storage on the device you use. It is not sent to us and we cannot see it, except for the three optional features described below, which you have to switch on yourself. If you clear your browser data or lose the device, it is gone, so use the backup option in the account menu.

What we hold about your account

To sign in you use an IncludeMe account: your email address and a password. It is the same account as the Activity Finder. We hold the email address, the password (stored securely, never in readable form) and sign-in times, through our account provider Supabase. Confirmation and password emails are sent through Resend. We also note, on your account, the date you first used the Child Organiser, so we can count how many accounts use it. Nothing about your child is included. We use this only to run your account and to count users.

A private copy on our server (optional)

The first time you sign in we ask whether you would like a private copy of your passports kept with us, so the same information appears on another phone, in the Home Screen app, or after you get a new phone. It is off unless you say yes. If you do, we store what you have entered about your child (the details, appointments, contacts and the portfolio of what reports say they can do) and, if you also agree to it, the documents and photos you keep with the passport, up to 150 MB in total. Everything is encrypted before it is stored, is opened only to send it back to you when you are signed in, is not shared with anyone, is not used to train AI and is not kept in any log. We rely on your explicit consent for this special category data. You can turn it off, switch documents off separately, or choose “Delete my private copy” in the account menu at any time, and we then delete it. Deleting a child or a document in the app also removes it from the copy.

Reading a letter from a photo (optional)

If you choose “Scan or upload”, we ask you to agree first. A photo, PDF, Word file or text of a letter, text message, prescription, report or assessment is then sent to our server and passed to an AI service (Anthropic, through its API) which reads it and sends back what it found, such as the appointment, contacts, what the child can do, is working on or finds hard, and any child, medicine, allergy or school details written on it, for you to check. A long PDF is turned into pictures of its pages on your phone and read in batches, up to 60 pages, and the words in a Word or text file are taken out on your phone and only the words are sent. If your portfolio already has entries, a short list of those lines is sent with the next report so the reader can spot what has changed. Nothing is saved until you tick it and press save. If you choose to keep the letter, a copy is stored on your own phone, in Documents, and in your private copy if you have turned that on. The pages and what was read are not stored by us and are not kept in any log; they are used only to fill in the form in front of you. We limit this to 20 reads a day and 100 a month per account, counting the pages of one document as one read for every eight pages. You can choose “Just file it, do not read” to keep a photo without it being sent anywhere. We rely on your agreement (consent) for this, and you can simply add appointments by hand instead. The reading can make mistakes, which is why you check everything first.

Appointment reminders (optional)

If you switch on email or phone reminders, we keep, for each upcoming appointment, only an anonymous reference, its date and time, and its type (for example “Hospital”), together with your account email address, your chosen reminder time, and the notification address your phone gives us. We do not receive your child's name, the title, place or notes of an appointment, or your contacts. Reminder emails and notifications say only the type and date. Appointments are removed from our server shortly after their date has passed. You can switch reminders off, or choose “Delete my reminder data” in the app, at any time and we will delete everything we hold for reminders. Reminder emails are sent through Resend, and phone notifications through your phone's own notification service. We rely on your agreement (consent) for this.

Share links

If you copy a share link, the passport you chose to share is inside the link itself. The part after the # sign is not sent to our servers, so we cannot see it, but anyone you give the link to can read it. You choose what a link, printout or copied text includes. Photos, documents and appointments are never included in links.

Storage and cookies

The app uses your browser's local storage and file storage to keep your passports and keep you signed in. It does not use advertising or tracking cookies. We count how many times the app is opened, as one anonymous daily total with no cookie, no IP address and nothing that identifies you. Browsers that send Do Not Track are not counted.

Your rights

You can ask us to delete your account at any time by emailing hello@includeme.uk. You can delete everything on your device by clearing this site's data in your browser, and everything we hold with “Delete my private copy” in the app.
